JOB The Deputy Municipal Court Clerk (Operations/Data Entry) is responsible for processing and maintaining Macon Bibb Municipal Court documents, including the Court’s invoices and annual budget materials, and assisting with duties related to entering citations, running driver and criminal histories (if needed), entering warrants, prioritizing caseloads, monitoring case status, and assisting judges.
EXAMPLE OF DUTIES Orients, trains, coordinates, and oversees positions of Court Specialist III, Court Specialist II and Data Specialist III.
Prepares Court requisitions, invoices, and the time and attendance entry for payroll.
Enters citations into the Court’s electronic database.
Runs drivers’ and criminal histories as needed.
Prepares monthly state surcharge reports for payment to the Georgia Court Clerks’ Authority.
Assists attorneys, and Sheriff’s Office with court cases and scheduling.
Assists Judges with Court cases, scheduling, and arrangements for their continuing education.
Assists, compiles, and maintains information relative to the Court’s annual budget.
Serves as one of two contacts in the absence of Clerk of Municipal Court.
Analyzes statistical information and presents reports concerning court case entry processes.
Assists Clerk of Municipal Court with accurately and properly accounting for Macon Bibb Municipal Court receipts.
Dually serves as judge’s assistant to include reviewing judicial orders.
SUPPLEMENTAL INFORMATION Knowledge of the operations, procedures, and jurisdiction of a Municipal Court, including applicable laws and customs governing the trial of misdemeanor, quasi-criminal, civil and administrative hearing matters.
Knowledge in the areas of Fiscal and Budgetary Administration.
Knowledge of Microsoft Office Suite, the Windows NT network, JTI’s eCourt case management system, Tyler/New World ERP, and internet and e-mail services.
Knowledge of modern office practices, accounting principles, statistics, and research methods.
Skill in effective written and oral communication.
Knowledge of preparing and reviewing judicial orders.
Ability to plan, direct, and coordinate the work of clerical employees as directed.
Ability to establish, monitor, and maintain complex records and recordkeeping systems, prepare applicable reports from these records, and prepare and execute court documents.
Ability to understand and follow quickly and accurately oral and written instructions.
Ability to maintain effective working relationships with supervisors, fellow employees, and with members of the general public.
